01 / Filling an officials and volunteer roster before Friday
Step 1 · Where it starts
A sign-up that shows the actual gaps — which field, which age group, which two-hour window — instead of asking people to read a spreadsheet and work it out.
Step 2 · What gets automated
Availability, certification level and past assignments are matched to open slots, and the person who has worked four weekends running is not the first one asked again.
Step 3 · The process it plugs into
Unfilled slots escalate on a clock. A gap seven days out gets a broadcast, a gap two days out gets a direct ask to the people who have said yes at short notice before.
Step 4 · SolaceSentry review
A coordinator confirms every assignment. Certification status is checked by a person before anyone is put on a field with children on it, not inferred from a database field.
Step 5 · What leaves the system
A published assignment sheet with a named, qualified person against every slot, and a reserve list that is real rather than aspirational.
Proof metric: Slots still unfilled seventy-two hours out, and games moved or shortened for want of an official.
